Changelog

See what's new in Caisely. Latest updates, improvements, and fixes to our legal lead management platform.

v2.13.0

Reliable Lead Eligibility and Rejection Follow-Ups

This release makes lead qualification more dependable and gives rejected leads a clean, automatic close-out. Eligibility now works out of the box on standard injury, fault, and incident-date questions — no per-firm field setup — and a rejected lead is fully stood down, with an optional decline letter.

  • AddedWhen you reject a lead, Caisely can automatically send a decline letter by email and text
  • AddedSee exactly when a lead was approved or rejected, shown right next to its status
  • ImprovedLead eligibility works out of the box on standard injury, fault, and incident-date questions — no per-firm field setup required
  • ImprovedRe-approving a previously rejected lead resumes intake outreach from where it left off
  • FixedRejected leads no longer receive intake reminders or signing requests
  • FixedEligibility now fails safe — a lead is never auto-qualified when a required qualifying answer was not collected
v2.12.0

Firm Time Zone and Simpler Org Settings

Your firm can now set its own time zone, so scheduled times and timestamps line up with where your team actually works. We also brought organization management together under Settings — renaming your firm, reviewing your team, and handling invitations now all live in one place.

  • AddedSet your firm's time zone in Settings so dates and times display correctly for your team
  • ImprovedManage your organization from one place in Settings — rename your firm, review team members, and open invitations without visiting a separate page
  • ImprovedInvitations to join another organization now appear in your Account settings, so you can accept them right where you manage your profile
  • ImprovedDuring text intake, the assistant answers a client's question before sending their signing link and handles rapid back-to-back replies more gracefully, so conversations stay clear
v2.11.0

Dedicated Texting Numbers for Each Firm

Caisely can now give each participating firm its own local texting number. New intake conversations and every follow-up stay on that same number, so clients always know who they are talking to and replies return to the right firm.

  • AddedParticipating firms can use a dedicated local number for client intake and follow-up texts
  • ImprovedEvery message in an intake conversation stays on the firm's assigned number, including client replies and later follow-ups
  • ImprovedReplies are matched to the correct firm and conversation even when Caisely manages several firms and phone numbers
v2.10.0

Nothing Slips Through When Signing Needs a Hand

When the intake assistant can't send a client their retainer on its own, it no longer quietly promises a follow-up that never happens. It now flags the conversation right in your Messages inbox so a teammate can step in — and the inbox makes it obvious which conversations are waiting on a reply and which need your attention.

  • AddedIf the assistant can't generate a client's signing link, it posts a clear alert in that conversation and marks it as needing attention, so the lead never gets stranded
  • AddedThe Messages inbox now shows how many conversations are waiting on a reply, plus a warning mark when one needs a person — both clear on their own once you reply or resolve them
  • ImprovedText intake opens by asking what happened before drilling into specific details, so the first message feels more natural
v2.9.0

Shorter, Friendlier Intake Conversations

The text intake now feels like a real conversation. It opens with a warm introduction, asks one clear question at a time, and keeps every message short and easy to read, so clients are far less likely to feel overwhelmed or drop off. It also tailors the questions to each lead's case type, so nobody is asked about things that do not apply.

  • ImprovedThe assistant asks one focused question at a time and opens with a short, warm introduction, instead of sending several questions in one text
  • ImprovedMessages are shorter and in plain language, and the assistant replies in the same language the client uses, including Spanish
  • ImprovedThe assistant no longer re-asks something a client already answered or said they would send later
  • AddedIntake now recognizes each lead's case type — car accident, dog bite, slip and fall, medical, workers compensation, and more — and asks only the questions that matter for that case
  • AddedYou can choose exactly which questions the text intake asks for each case type from the new Intake Templates tab
v2.8.0

Every New Lead Gets Followed Up Automatically

Caisely now texts each new lead on its own to finish intake — usually within the hour, at any time of day. It reads what you already have first, including notes from a phone call, so it only asks about what is genuinely missing. When there is nothing left to collect, it sends your retainer for signature in the same conversation. You can turn this off per firm in Settings.

  • AddedNew leads are texted automatically to complete their intake, so nobody waits for someone to get to them
  • AddedWhat a lead already told you — including on a recorded phone call — is used to pre-fill their answers, so a long intake often becomes one or two quick questions
  • AddedMissing documents are requested in the same conversation, based on the document list you set for that case type in Settings
  • AddedEach lead gets a qualification summary so you can see at a glance which ones look like a fit — nothing is ever turned away automatically
  • AddedOnce intake is complete, your retainer agreement is sent for signature right in the same text thread
  • AddedOn Growth and above, you can also let Caisely place the first call to a new lead — off until you switch it on in Settings
  • ImprovedLeads are only texted when you have their consent on file; anyone who cannot be texted is flagged for your team instead
  • ImprovedApproval Rate on the dashboard now measures the leads you actually decided on — approved out of approved plus rejected — so leads still under review no longer drag the number down
  • ImprovedAverage Response Time now measures how long a lead waits from arriving to getting your decision, and shows a dash instead of zero when there is nothing to measure yet
v2.7.0

Voice Intake, Prepared for Pilot

Caisely can now turn supported phone intake conversations into structured lead details for firms participating in a controlled pilot. Voice intake remains off until it is configured and approved for a firm.

  • AddedControlled-pilot voice intake that captures the lead details a firm has chosen to collect by phone
  • ImprovedPhone answers use the same intake form and field labels as online submissions, so staff see one consistent lead record
  • ImprovedExisting lead details are preserved when a caller gives a conflicting answer, with the proposed answer retained for staff review
  • FixedRepeated or out-of-order call updates no longer create duplicate leads or erase completed call details
v2.6.0

Invite-Only Access and Clearer Terms

Caisely is now invite-only: accounts come from an invitation rather than a public sign-up form. Our Terms of Service have also been rewritten to describe billing in plain language, and you now accept them when you sign up instead of being assumed to have read them.

  • AddedYou accept the Terms of Service when you sign up, and we record which version you agreed to
  • AddedSet someone's platform role from a single dropdown in Users & Access — Member, Moderator, Admin, or Super Admin — with a confirmation before it takes effect
  • ImprovedThe Terms of Service now spell out billing plainly: your free leads, when the trial converts to a paid plan, what additional leads cost, when your card can be charged mid-period, the lead cap, and how cancellation works
  • ImprovedThe Privacy Policy now explains how your content is used to improve our AI features, and how to opt out
  • ImprovedAccounts waiting for approval sort to the top of Users & Access, so there is nothing to hunt for
  • FixedInvited teammates who signed in before accepting their invitation could get permanently locked out. Accepting now works from a signed-in account
  • FixedAn invitation can now only be accepted by the person it was sent to, so a forwarded link no longer grants access
  • FixedAn expired or already-used invitation now says so instead of showing a sign-up form that could not work
  • RemovedPublic self-service sign-up. New accounts come from an organization invitation or a lead-transfer recovery link
v2.5.1

Bug Fixes

Bug fixes and internal improvements.

  • FixedBug fixes and internal improvements
v2.5.0

Plans, Billing, and a Lead Balance You Can See

Caisely now has plans and billing. Pick Starter, Growth, or Enterprise, and your first leads are free for 30 days — we save a card but charge nothing until you pass them. A running balance in Settings shows exactly where you stand: how many free leads are left, how much of your plan you've used, and what any additional leads have cost.

  • AddedPlans and billing under Settings — choose Starter, Growth, or Enterprise, with unlimited users on every plan
  • AddedYour first leads are on us. We save a card at signup but charge nothing until you go past your free leads, and you can cancel before then at no cost
  • AddedFree leads last 30 days from signup — after that your next lead is a billable one
  • AddedA running lead balance showing free leads remaining, plan leads used, and what any additional leads have cost this period
  • AddedA heads-up wherever you are in the app when you pass your plan allowance or a payment needs attention — no need to go looking in Settings
  • AddedManage your card, download invoices, and cancel through the billing portal
  • Improved24/7 AI voice intake is now included with the Growth and Enterprise plans
v2.4.0

Branded Intake Forms and Steadier Sign-Ins

Your public intake form now wears your firm's brand — logo, colors, and a clean letterhead-style layout from the first question through the confirmation screen. Behind the scenes, the app now rides out brief database hiccups instead of getting stuck loading.

  • ImprovedRedesigned the public intake form with your firm's branding — your logo and colors, a clean single-card layout, and a subtle progress bar, carried through to the success and ineligible screens
  • FixedPages like Members no longer get stuck on a loading spinner during a brief database interruption — the app now recovers automatically
v2.1.0

A Richer Lead Workspace and First-Class Lead Cost

Opening a lead now gives you a full workspace — the client conversation stays in view, the essentials sit in one card, and attribution drills from a source into its campaign. Lead acquisition cost is now a plain, editable value on every lead, and leads with no source finally show up in your analytics.

  • ImprovedRedesigned the lead page into a workspace — the client conversation stays visible on the side, key details and status live in one card, and the page uses the full width
  • ImprovedSet a lead's source and campaign with a quick source-to-campaign drill-down, on both the lead page and the leads table
  • AddedLead cost is now a first-class value you can edit on any lead — a campaign fills it in automatically, and you can set a custom amount per lead
  • ImprovedLeads with no source now appear as an "Unattributed" channel in analytics, so their spend is never lost
  • ImprovedIn the analytics breakdown table, click anywhere on a row to open its balance sheet
  • ImprovedCleaner dashboard header with a bigger, easier-to-spot date range selector
  • ImprovedStreamlined the Settings account tab into a single, tidier profile card
  • FixedThe organization selector no longer flashes the wrong organization on login
v2.0.0

Case Lead is now all about Leads

We've refocused the product entirely around your leads pipeline. The leads page is redesigned to be faster and denser, every lead now has one clear status, and you can archive leads to keep your list tidy. Case management and the revenue/financials views have been retired.

  • ImprovedRedesigned leads table — cleaner rows, 100 leads per page by default, a single at-a-glance status, and each campaign shown under its source
  • AddedA dedicated search box that finds leads by name, email, phone, source, or campaign — and matches names typed in any order
  • AddedFilter right from the column headers, including drilling from a source into one of its campaigns
  • AddedArchive a lead to hide it from your list and metrics without deleting it — nothing is ever lost
  • ImprovedEvery lead now has one clear status — pending, approved, or rejected — with a reason captured when you reject one
  • RemovedRetired case management, the Revenue tab, and all financial/ROI tracking to focus the product on your leads pipeline
v1.42.0

Delete Campaigns, Archive Threads, and Sharper Team Roles

You can now delete campaigns without stranding their leads, tidy your inbox by archiving message threads, and have an acceptance letter sent automatically the moment you approve a lead. Deleting documents is more reliable, and organization roles have clearer, safer permissions.

  • AddedCompany admins can delete a campaign — if it still has leads they are unassigned and the campaign is archived (its spend history stays in your analytics); a campaign with no history is removed entirely
  • AddedArchive a message thread to clear it from your inbox — it comes back automatically if the client sends a new message, and nothing is ever deleted
  • AddedSend an acceptance letter automatically when a lead is approved — set it up once from Automations using one of your document templates
  • FixedDocuments that previously failed to delete — including ones linked to a fee agreement or an expense — now delete correctly, and the delete action on document templates is reliable
  • ImprovedMembers & Roles: admins can manage members while changing or removing another admin or owner is reserved for owners, and platform super admins can manage any organization
v1.41.0

SmartAdvocate Sync Overhaul and Cleaner Accounting

Syncing a lead to SmartAdvocate now carries everything across correctly — documents with proper names, split address fields, date of birth, and your Caisely case insights — and re-syncing updates the existing SmartAdvocate case instead of leaving it stale. Accounting metrics and the inbox now set aside terminated and resigned clients.

  • FixedSmartAdvocate documents no longer error or lose their names — files sync with proper names and extensions, qualified with the client’s name (e.g. “Retainer Agreement - John Doe.pdf”)
  • FixedClient addresses sync into SmartAdvocate as separate street, city, state, and ZIP fields instead of one combined address line
  • AddedDate of Birth can now be mapped in the SmartAdvocate field mappings, and saving mappings no longer discards ones configured outside the mapping table
  • AddedCaisely case insight flags appear in the SmartAdvocate incident facts in plain text and reflect their latest status on every sync
  • AddedA Re-sync button on synced leads pushes current contact details, insights, and any new documents to the existing SmartAdvocate case — without re-uploading documents already sent
  • ImprovedRevenue metrics, the dashboard, and the messages inbox now exclude terminated and resigned clients
v1.40.0

Focused Leads, Instant Referrals, and a Top-Bar Inbox

The Leads page is now focused on your pipeline, with configuration and templates moved to where you would expect them. Referring a lead opens instantly and hides personal details by default, Messages move into a quick inbox in the top bar, and Documents becomes the home for templates and fee agreements.

  • ImprovedThe Leads page is now just your pipeline, with each lead’s source shown on its row
  • ImprovedIntake Form and Automations moved into organization Settings, and Request Info templates and Fee Agreements now live in the Documents area
  • AddedMessages now open from an inbox in the top bar with an unread count, keeping the sidebar focused on your core workspace
  • ImprovedReferring a lead opens instantly — it now uses the case insights already generated for the case instead of regenerating them each time
  • ImprovedWhen sharing a lead for referral, identifying details like name, phone, email, and address are hidden by default; free-text notes stay visible, so review them before sending
  • ImprovedOn Sources & Campaigns, “Add Source” is now a button next to the search bar, and each source’s “Add campaign” action shows a plus icon
v1.39.0

Revenue Reporting and Source-Level Spend

A new admin Revenue dashboard shows collected and pending attorney-fee revenue by period, and lead sources can now carry their own spend without forcing you to create a campaign. Acquisition cost reflects source-level spend automatically, and viewing another organization as a super admin now shows its messages.

  • AddedAdmin Revenue dashboard with collected and pending attorney-fee totals by period, plus lists of cases missing settlement data or acquisition cost
  • AddedSource-level spend: set a budget, monthly, or per-lead cost directly on a lead source without creating a campaign — campaigns are now an optional way to break a source down further
  • ImprovedAdding the first campaign to a source moves the source’s existing spend into a default campaign so cost lives in exactly one place
  • ImprovedCustomer acquisition cost now includes spend from sources that have no campaigns, allocated across that source’s leads
  • FixedViewing another organization as a super admin now shows that organization’s messages
v1.38.0

Streamlined Workspace and Acquisition Insights

Account and organization settings now live together in one place, a new Documents area brings templates and document editing together, and the acquisition funnel has been reworked to show what each source costs per converted lead. Activity and messages also move onto your dashboard for a cleaner sidebar.

  • AddedCustomer acquisition cost by source in the acquisition funnel, showing the spend behind each converted lead
  • ImprovedAccount details, organization settings, and integrations are now consolidated into a single Settings page
  • ImprovedFilter the acquisition funnel by clicking a source, campaign, or outcome, with the date range now in the page header
  • ImprovedActivity log and messages now appear as dashboard cards, and lead sources and campaigns moved into the Leads page
  • ImprovedYou can now edit your name directly from Settings
v1.37.0

  • ImprovedQuestions like finding leads with settlement statements now return matching records without repeated narrow searches
  • ImprovedAssistant activity is grouped more cleanly so longer tool runs are easier to scan
  • FixedExpanded assistant activity stays in sync when a response finishes and the next answer begins
v1.36.0

Follow-Up Controls and Analytics Drilldowns

Signing follow-ups are easier to control, with safer SMS consent handling and clearer limits on reminder attempts. Teams can also dig deeper into analytics balances while protected organizations stay read-only during review and demos.

  • AddedManual controls for starting document-signing SMS follow-ups when a lead still needs to sign
  • AddedAnalytics balance drilldowns that make it easier to review the cases behind summary totals
  • ImprovedSMS follow-ups now handle phone-only leads more consistently and include clearer opt-out language
  • ImprovedReminder attempt limits are capped more clearly so follow-up campaigns do not run longer than intended
  • FixedProtected organizations now stay read-only more reliably across admin and case-management workflows

  • FixedLead contact validation and SMS consent handling are more consistent when details arrive from different intake paths
v1.34.0

Duplicate Review Reliability

Potential duplicate leads are detected more reliably as new client details arrive from intake, referrals, and case updates. Lead and case lists also make it easier to focus on the records that matter during review.

  • ImprovedPotential duplicates are refreshed after important client details are added or changed, so matches can appear even when information arrives after the lead is first created
  • ImprovedDuplicate review search is faster and more consistent for firms with larger lead lists
  • ImprovedCase and lead tables now share clearer record filtering for active, archived, and cleanup-ready records
  • FixedPreviously dismissed duplicate suggestions stay dismissed when duplicate candidates are refreshed
  • FixedImported referral details with repeated aliases are handled more cleanly during duplicate review
v1.33.0

  • AddedAI assistant sessions now stay connected to the current case or lead during reloads and in-progress responses
  • ImprovedDuplicate leads that have already been merged are marked for cleanup and kept out of acquisition analytics totals
  • FixedLead and case names are derived more reliably from intake details when party information is incomplete
  • FixedSmartAdvocate sync includes additional safeguards around linked cases and referral source cleanup
  • FixedExpense row editing, long party message drafts, and assistant history ordering behave more consistently

  • ImprovedLead approval now waits for required signed agreements before promotion to a case
  • FixedAI intake lead actions are available again when reviewing intake-driven leads
  • FixedInvitation acceptance now opens the invited organization by default

  • ImprovedAcquisition funnel branches now stay visually aligned more reliably when sources, campaigns, categories, subcategories, and outcomes are combined in different orders
  • ImprovedSkipped-stage paths now render with cleaner continuation bars so gaps inside the funnel are easier to follow

  • AddedAcquisition analytics workspace with funnel views for sources, campaigns, categories, subcategories, and outcomes

  • AddedAI assistant reads and analyzes uploaded images, PDFs, and email files directly in the chat
  • AddedCreate new leads from uploaded documents — the assistant extracts client and incident details and fills in the correct intake form fields automatically
  • AddedEmail attachments are automatically extracted and available as separate files in the workspace

  • FixedFile uploads from the AI assistant chat now save correctly to the case
v1.20.0

Every uploaded document is now automatically analyzed for key facts, liability signals, and case opportunities. The leads table gets smarter too — filter by any intake form field instead of just injury type.

  • AddedAI-generated case brief with incident summary, injuries, insurance details, and timeline — synthesized from all uploaded documents
  • AddedOpportunity and risk flags automatically detected from case documents, highlighting high-value signals and data conflicts
  • AddedFilter leads by any intake form field — not just injury type — with dynamic filter options pulled from your form configuration
  • ImprovedLead status badges redesigned for clarity with a single-cell layout showing case status, approval, and signing state
  • ImprovedMulti-case disambiguation — when a client has multiple active cases, the AI intake assistant asks which case they are calling about
  • FixedVisual artifacts in the public intake form progress bar on mobile browsers
v1.19.0

Progressive Intake with Drop-Off Recovery

The public intake form now guides clients through one section at a time instead of showing every field at once. Only name and phone are required — everything else is optional. If a client abandons the form partway through, the AI assistant follows up by text to collect the rest. Signing documents are sent only after the case is reviewed, saving time on unqualified leads.

  • AddedStep-by-step intake wizard that saves progress after each section, so clients can resume where they left off
  • AddedAutomatic drop-off recovery that detects abandoned intakes and sends an AI-powered SMS follow-up within 30 minutes
  • AddedAI assistant can now send signing documents or politely decline a case based on the information collected
  • ImprovedOnly name and phone number are required on the intake form — all other fields are optional and collected by AI if skipped
  • ImprovedSigning documents are sent after eligibility review instead of immediately, reducing wasted signing credits
  • ImprovedCases are created as soon as a client provides their name and phone, giving your team earlier visibility into new leads
v1.18.0

AI-Powered Intake via SMS

Collect client intake information automatically through conversational SMS. An AI assistant guides clients through your intake form over text message, gathering details, accepting photo uploads, and following up if they go quiet — so your team can focus on casework instead of phone calls.

  • AddedAI intake assistant that collects case information from clients via SMS conversation
  • AddedPhoto and document uploads via MMS, automatically attached to the case file
  • AddedStandard intake templates for motor vehicle accidents and dog bite cases, ready to use out of the box
